User Agreement & Privacy Statement

Last updated: 9 July 2026 · Version 1.0 · Read together with the Terms of Service.

1. Who this agreement covers

This agreement applies to all registered users of SmartRecruit: Students, Organisations, and Administrators. It explains what personal information we collect, why we collect it, how it is protected, and your responsibilities as a user. It is governed by the laws of New South Wales, Australia.

2. Information we collect

Students: name, email address, university, degree, GPA, skills, career interests, and an optional resume link.
Organisations: company name, ABN, industry, location, and contact email.
All users: account credentials (password stored only as a BCrypt hash), application and booking activity, and payment references returned by PayPal (never card numbers).

3. Why we collect it

Information is collected to: operate accounts and authentication; calculate skill-based match scores between student profiles and job requirements; process Premium subscriptions and training bookings; facilitate referrals to partner organisations; and meet record-keeping obligations. We collect only what is reasonably necessary for these functions, consistent with the Australian Privacy Principles (Privacy Act 1988 (Cth)).

4. How your information is protected

Passwords are hashed with BCrypt and are never stored or transmitted in plain text. Database access from the application uses parameterised (prepared) statements to prevent injection attacks. Payment card details are handled entirely by PayPal and never touch SmartRecruit's servers. Administrative actions are recorded in an audit log.

5. Who can see your information

Student profile details and match scores are visible to organisations only in the context of jobs the student applies for, or referrals the student has consented to as a Premium member. Organisation job postings are public to registered students once approved. We do not sell personal information. Information may be disclosed where required by Australian law.

6. Your responsibilities

You agree to: provide accurate and current information; keep your password confidential; not share your account; not misrepresent qualifications, skills, or job details; and treat other users respectfully and lawfully, including compliance with anti-discrimination law applicable in New South Wales and the Commonwealth.

7. Access, correction, and deletion

You may access and correct your profile information at any time through your account. You may request deletion of your account and associated personal information; some records may be retained where required by law (for example, financial transaction records). Deleting an account removes dependent records under the Platform's cascading data model.

8. Cookies and sessions

The Platform uses session cookies solely to keep you logged in securely. Sessions are regenerated on login to protect against session fixation. No third-party advertising or tracking cookies are used.

9. Complaints

Privacy concerns can be raised with SmartRecruit Support. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC).

10. Acceptance

Creating an account, or continuing to use an existing account, constitutes acceptance of this User Agreement and the Terms of Service.
